How to Upload Diamonds to Rapaport Trade (formerly RapNet): Single, Multiple, and FTP Uploads

Step-by-Step Guide for Uploading Diamonds via Rapaport Trade XL, Rapaport Trade.com, Polyplus, Certnet, and FTP

This article explains how to upload a diamond inventory file via Rapaport Trade XL or the Rapaport Trade website.

How to Upload a Single Diamond to Rapaport Trade

To upload a single diamond, you can either enter the details manually or use the Rapaport Trade App for a quick upload via the GIA report number.

Upload Single Diamond on the Web

  1. Go to Upload Diamonds > Single.

  2. For GIA-graded diamonds: Enter the GIA report number and click Load Data. This will automatically fill in the GIA data (which cannot be edited). Add additional details like Stock #, Price, Location, Rough Source, and Media, then click Save.

  3. For Non-GIA or uncertified diamonds: Click "Please click here" for other labs, fill in the details, and upload media. Click Save.

Upload Diamonds via the Rapaport Trade App

  1. Click on the 3-dot menu (bottom right)

    • Scroll down and tap My Diamonds > Upload Diamonds

  2. Quick Upload with GIA Report Number:

    • In the 'Upload Diamond' section, enter your diamond's GIA report number.

    • Tap Load Data.

    • The app will automatically populate the fields with all relevant diamond details from the GIA report.

  3. Manual Upload:

    • If you prefer, you can manually enter the diamond's details such as cut, color, clarity, carat weight, and more.

  4. Complete the Listing:

    • Enter your asking price, availability, and location to complete the listing.

Note: You can also manage and update your diamond listings on the App as well!


How to Upload Multiple Diamonds to Rapaport Trade

Step 1: Prepare & Save Your Diamond Inventory File

  • Rapaport Trade XL: Your file can be in XLS, XLSX, or CSV format.

    • Download Rapaport Trade XL and choose "New Stock File" or use your existing file.

    • Ensure the first line contains headers matching Rapaport Trade’s accepted field headers and values.

  • Rapaport Trade.com: Your file must be in CSV format.

Step 2: Upload Diamond Inventory to Rapaport Trade

  1. Via Rapaport Trade XL:

    1. Go to the Rapaport Trade XL tab and click "Upload to Rapaport Trade."

    2. Choose “Replace All” (removes lots not in the file) or “Add and Update” (adds new lots and updates existing ones).

    3. Monitor the upload progress for any errors.

  2. Via Rapaport Trade Website:

    1. Log into Rapaport Trade and go to "Diamonds" > "Upload Diamonds" > "Multiple."

    2. Drag or browse your CSV file.

    3. Choose “Replace All” (removes lots not in the file) or “Add and Update” (adds new lots and updates existing ones).

    4. Click "Upload File" and check the "History" tab for status.

Upload Fancy Colored Diamonds

The process for uploading fancy-colored diamonds is similar to white diamonds, with a few key differences. When uploading fancy color diamonds, be sure to fill out the following three additional fields:

  1. Fancy Color: Enter the main body color of the diamond, which is the final word in the color description (e.g., 'Yellow' or 'Y'). This information should go in the 'Fancy Color' column.

  2. Fancy Color Intensity: This indicates the intensity of the diamond's color. Each diamond can only have one intensity. Input the value in the 'Fancy Color Intensity' column.

  3. Fancy Color Overtone: This field is for secondary colors or modifiers. These values should be entered in the 'Fancy Color Overtone' column.

Upload Diamond Parcels to Rapaport Trade

You can upload diamond parcels either one by one or via an inventory file in XL or CSV format.

    • Size: Enter the total carat weight of the parcel (up to 2 decimal places).

    • Parcel Stones: Enter the number of diamonds in the parcel.

  • Multiple Parcel Upload:

    • Open your inventory stock file.

    • In your upload file, enter:

      • Size/Carat/Weight: Total carat weight of the parcel in the 'Weight' column.

      • Parcel Stones: Number of diamonds in the parcel under the 'Parcel Stones' column.

Important Notes:

  • The minimum accepted parcel size is 3 diamonds (a pair of 2 diamonds is considered a matched pair, not a parcel).

  • Parcels are only for white diamonds; Rapaport Trade does not accept fancy colored parcels.


Upload Diamonds Using Polyplus and Certnet Format

You can upload diamonds using the Polyplus or Certnet formats from the "Upload Multiple Diamonds" screen. These formats allow for efficient and accurate uploading of diamond inventories directly to Rapaport Trade.


Using FTP to Upload Diamonds (File Transfer Protocol)

FTP (File Transfer Protocol) is a secure and efficient method for transferring large amounts of data or multiple files quickly. It offers faster uploads than methods like website-based uploads, making it ideal for managing large diamond and jewelry inventories.

We recommend using WinSCP or FileZilla.for FTP uploads. Note that FileZilla does not support automatic uploads, whereas WinSCP does.
