Follow these rules when you list diamonds on Rapaport Trade. They cover grading reports, shape, pricing, availability and location, keeping listings up to date, rough source, and GIA validation. Accurate listings help the right buyers find your diamonds.
Grading reports
Make sure the diamond details you upload match the grading report.
Include the lab name and the report number, so the report can be verified.
EGL-graded diamonds can't be listed on Rapaport Trade.
Shape: round diamonds
A classic Round Brilliant Cut has a cut grade, a symmetry grade and a polish grade.
List other round diamonds, such as Round Novelty Cut or Round Portrait Cut, as Other.
Pricing
White diamonds (D–Z color) under 4 carats need a price per carat or a discount.
Fancy color diamonds can be listed without a price.
If you enter both a discount and a price per carat, Rapaport Trade uses the price per carat.
You don't need to enter the Rapaport price. Rapaport Trade calculates it when you upload.
Fancy color diamonds
Enter fancy colors in the fancy color fields, not the D–Z color fields. See how to upload fancy colors.
Availability and location
Give the actual physical location of each diamond: city, state or country.
Guaranteed Available means you have immediate access to the diamond. It must be at the listed location, ready to sell or view, and not on hold.
The same diamond can be listed by more than one account, as long as each listing gives the correct location.
Which location buyers see
Each diamond shows only one location in search results, so buyers see consistent information. When the same diamond is uploaded by more than one account, the location is chosen like this:
Connected offices: if your company is a group of connected offices, the Primary Supplier's location is shown for all uploads of that diamond.
Other companies: the location of whichever account uploaded the diamond first is shown, even if others upload it from a different location.
If the first uploader deletes the listing: Rapaport Trade switches to the location of the next earliest uploader.
Good to know: Only available diamonds can set the location. If a diamond is marked NA (not available), it no longer sets the location buyers see.
Keep your listings up to date
Diamond listings expire every 7 days. To keep them on Rapaport Trade, either:
refresh them in My Listings if your stock hasn't changed, or
upload a new inventory file.
When you upload a file, leave out commas, dollar signs and percent symbols in number fields.
Tip: Update your listings regularly – we recommend 2–3 times a week.
Rough diamond source
You can show where a diamond's rough came from. Diamonds with a known source show a blue circle with the letter S in search results, which tells buyers the country or mining company.
How to add the source
Single diamond upload: choose the country in the Source field.
Multiple diamonds (file upload): add a Source column to your inventory file and enter the country or mining company. You can also put it in the Supplier Comment field.
Accepted countries and sources

GIA-graded diamonds
How GIA validation works
When you upload a GIA-graded diamond, Rapaport Trade checks it against GIA's data. Anything missing or incorrect is replaced with the details from GIA.
If you see Error Fetching GIA Data: Auto-Retry Enabled, the diamond couldn't be validated straight away. You don't need to do anything – Rapaport Trade keeps retrying for up to 24 hours, then adds the details to your listing. See when this happens.
Shape
Rapaport Trade normally uses the shape on the GIA report. In some cases you can choose a different shape, as long as it's one of the accepted alternatives. See the list of shapes and accepted alternatives.
Comments
Put your own, non-grading comments in the Supplier Comment field.
Don't use the Report Comments field – GIA's data overwrites it during validation.
