FTP (File Transfer Protocol) using WinSCP

How to transfer diamond inventory and image files from your computer to Rapaport Trade Media Library using FTP

FTP (File Transfer Protocol ) is a simple, secure, and reliable method designed to transfer large amounts of data or multiple files from one computer to another. It's also faster than other methods such as uploading data or media files via a website.

Using WinSCP, any changes to your local files will automatically update as long as WinSCP is minimized and running in the background.

FTP Requirements

Before uploading images using FTP, you need the following:

  1. A folder with your diamond lots in CVS format and diamond images:

    • Save the folder/s to the computer.

    • Images

      • Acceptable image file types: JPG, PNG, and Gifs

      • Image Filenames: In English and one word only.

  2. An FTP Client:

    1. WinSCP - This is the communication program used to transfer your data. It needs to be installed on your computer or server.

  3. The Key File:

    1. This is a text file that contains an encryption\license key. It allows your computer to transfer data/images safely to Rapaport Trade.

    2. Download the Key File from here.

  1. Go to Rapaport Trade FTP Setup > click & download the File Key. A text file opens up on your computer, titled 'key file PPK

  2. Save the PPK Key File on the same computer or server that you are going to download & run the FTP client.


Step 1: FTP Setup

Once you have downloaded the FTP client and Key File, you are ready to set up the connection to Rapaport Trade's FTP service.

  1. Open WinSCP > File > Site Manager

  2. Session Panel:

    1. File Protocol: Select SFTP is selected

    2. Host: Copy and paste: ftp.rapaport.com

    3. Username: Copy and paste your Rapaport Trade username from Rapaport Trade’s FTP preferences settings (this is usually your Rapaport Account Number)

    4. Password: Your Rapaport Trade Password

    5. Advanced:

      1. Authentication > Private Key file > click on the 3 dots

      2. Browse and find the ppk file > ok > save

  3. Login - you have now created your FTP connection.


Understanding the FTP Dashboard

  1. Your computer: Browse to find your inventory lots or image folder on your computer

  2. FTP Remote Site: This is the Rapaport Trade site where your inventory or image files will be transferred to:

    1. Click on your account number to view diamond folder

    2. Choose

      1. Diamonds to upload your diamond listings or images to upload diamond images to your Diamond Image Media Library


Step 2: Transfer Inventory or Images via FTP

  1. In the right window (FTP remote site), double-click on your account number and double-click on either the diamond folder: [use the + icon to open]

    1. To upload diamond inventory: choose diamonds > lots

    2. To upload diamond Images: choose diamonds > images

  2. Go to the local site (left-hand side) > browse and select your inventory or image folder from your computer

  3. Select the inventory file, image folder, or individual images > drag & drop across to the FTP remote site.

  4. FTP connection status should show ‘successful’ > Go to Rapaport Trade and check your uploads:

    1. Diamond inventory: Diamond Upload History

  5. Synchronize > Check that the Local and Remote directories are correct > Click OK

  6. Do not close your FTP! Keep minimized


Synchronizing your Inventory or Images with WinSCP

Auto-sync is enabled whenever you update inventory or images in the folder that is connected to the FTP.

Here's how to set it up:

  1. Commands > Keep Remote Directory up to Date

  2. Click the Start button > Minimize the pop-up.


Important Notes for FTP Diamond Inventory Uploads

When uploading diamonds, you can choose to either: Replace All or Add and Update

  1. Replace All: Lots not included in the upload file are removed from Rapaport Trade.

  2. Add and Update: New lots are added, existing lots are updated and lots that are not included in the upload file are untouched.

On FTP, the "Replace All" and "Add & Update" setting is based on the inventory filename:

  • Add & Update: Your filename should contain the word “update”. For example: mystock_update.csv / stockupdate.csv / update12_stock.csv

  • Replace All: Your filename does not contain the word “update” (e.g. mystock.csv)


Troubleshooting WinSCP

WinSCP stops when it hits an error

  1. Stop the upload > close the pop-up > go to your site settings

  2. Go to Session > Sites > Site Manager > Edit > Advanced > Advanced

  3. Bugs > Update these settings to "off" and click OK > Save > Login
