Diamond Media Management: Upload, Connect, Manage, & Guidelines

What the Diamond Media Library is, and how to upload, connect, find and manage your diamond images and videos on Rapaport Trade.

Written by Philippa Corrick

The Diamond Media Library is where you upload, store and manage the images for your diamonds on Rapaport Trade. You can add up to 5 images and 5 videos to each diamond.

This article explains how to upload media to the library, connect it to your diamonds, find media and check its status, and disconnect or delete files. Watch this video or read on.

Before you start: read the Diamond Media Guidelines for formats, sizes and what not to include in diamond media.

About the Diamond Media Library

Images you connect to your diamonds show on diamond item pages and in Instant Inventory. Diamonds with images and videos get more attention from buyers, are more likely to be shared on social media by members, and are more likely to be showcased by Instant Inventory retailers on their websites.

To let Instant Inventory users display your diamonds on their websites, give permission in your settings.

What you can do in the Media Library

  • Upload and view diamond image files

  • See whether media is connected to a diamond

  • Connect and disconnect images

  • Delete images

  • See the date each file was uploaded

  • Switch between gallery view and list view

Upload Media

You can upload images to the Media Library in these ways:

  • Single uploads: upload images one at a time from the Media Library or from a diamond's item page.

  • Zip folder: upload multiple images at once by compressing them into a zip file.

  • CSV file: upload a file of image links.

  • FTP: upload images directly to the Media Library.

Once your media is uploaded, connect it to your diamonds. See Connect Media to Diamonds.

Upload from the Media Library

  1. Go to Manage My Diamonds > Media Library.

  2. Click Upload New Media, then choose Upload New Media.

  3. Drag and drop your images, or browse to select them.

Upload from a diamond's item page

To add an image to a single diamond:

  1. Go to Manage My Diamonds, find the diamond and open its item page.

  2. Click Manage Media > Add Media.

  3. Select an image from the Media Library, or upload one from your computer.

  4. The image appears on the item page. Click Done.

Adding an image to a diamond from its item page

To add a video, open the item page, scroll down to Video Link, paste your video URL and click Save. The Video Link field is for videos from approved video providers. For more on adding images and videos to diamonds, see Upload Diamond Images & Videos.

Upload image links with a CSV file

  1. Prepare a CSV file with a single column of image links. No header row is needed.

  2. Check that each link starts with https:// (not http://) and ends in .jpg, .png or .gif.

  3. Go to Manage My Diamonds > Media Library.

  4. Click Upload New Media, choose Upload CSV with Image Links and upload your file.

The images are saved to your Media Library automatically. Rapaport Trade then emails you a report showing the status of each link.

Upload images via FTP

FTP (File Transfer Protocol) is a secure way to transfer image files directly from your computer. We recommend it when uploading a lot of images. For step-by-step instructions, see Using FTP to Upload Inventory & Images.

Navigate the Diamond Media Library

Images and videos are on separate tabs. Select Images or Videos at the top of the library.

Search for media

Type a file name in the search box to find the media you need.

Check media status

Use the Show Only filter on the left to choose what you see:

  • All Media: every uploaded file, connected or not.

  • Connected Media: media already linked to a diamond.

  • Not Connected Media: media uploaded but not yet linked to any diamond.

Switch views

Use the view button next to Actions to switch between:

  • Gallery view (the default): thumbnails of your media with their file names.

  • List view: a table showing each file's name and type, whether it's connected or disconnected, and the date it was uploaded.

Connect Media to Diamonds

Good to know: If an image's file name matches the diamond's stock number or report number (for example, 123456.jpg), it connects to the diamond automatically, so you don't need to connect it yourself.

To connect media manually:

  1. Find the media file in the library. See Navigate the Diamond Media Library.

  2. Click Connect.

  3. Type the lot # or stock # and search for the item.

  4. Click Connect Media.

Manage Media

From Actions, you can connect or disconnect media, delete files, or clear the entire library. First, find the files you need with the search box or the Show Only filter.

Disconnect media

  1. Select one or more media files.

  2. Go to Actions and select Disconnect.

Delete media

  1. Select one or more media files.

  2. Go to Actions and select Delete.

Common questions

Limits and formats

How many images and videos can I add to a diamond?

Up to 5 images and 5 videos per diamond. Images must be in JPG, PNG or GIF format. For other file requirements, see the Diamond Media Guidelines.

Are uploaded image links stored on Rapaport Trade?

Yes, as long as they are in JPG, PNG or GIF format. Rapaport Trade pulls each image from its link once and stores it in your Media Library.

Image links

Can I upload diamond media links from my diamond inventory file?

Yes, you can include up to 5 image links and 5 video links in your inventory file. We recommend uploading image links directly to the Media Library, as they're easier to manage there.

Does Rapaport Trade display my diamond images if they are linked to my website?

No. Images linked from external websites don't display in the media carousel on diamond item pages or in Instant Inventory. Only images uploaded to Rapaport Trade in JPG, PNG or GIF format display.

To add images from links, upload a CSV file of image links. Images named with the diamond's stock or certificate number connect automatically. Otherwise, connect them manually in the Media Library.
